Bean-to-cup hoppers aren't sealed, so the oils on the bean surface oxidise faster there than in a cupboard, and the problem compounds when the office buys a 2kg bag 'to save money' that then takes six weeks to work through — weeks four through six are being ground from beans that went flat around week two. Whoever's ordering the beans is usually optimising for cost-per-kilo, not freshness, which is the opposite of what a shared machine needs.

Dried milk residue left inside the machine turns rancid within about a day at room temperature, and it quietly sours every milk drink that runs through the line until someone actually strips it out. The machine's automatic rinse only pushes hot water through — it doesn't touch that dried crust on the spout, or the stale coffee oils that build up in the brew group over weeks of nobody pulling it out, and both need actual friction to shift, not just a hotter flush. It's usually milk drinks that go off first and most obviously — a latte or flat white tasting faintly sour while a black coffee off the same machine still tastes fine is the clearest sign the fault is a line, not the beans.
Find the bypass doser, skip the shared hopper
The bypass doser is the one part of a communal machine you can control entirely on your own, skipping the shared hopper and grinder to brew from beans you actually know are fresh. It's usually a small flap or funnel for pre-ground coffee sitting right next to the bean hopper, marked with a tiny scoop icon, that almost nobody in an office ever notices is there. Beans poured straight into the shared hopper just join the same stale rotation everyone else is drinking from — the bypass only works if you dose through it directly, not through the communal bin. It won't fix pressure or crema, you're still at the mercy of the machine's brew unit, but for a taste problem that's mostly about bean freshness, it's the highest-leverage move one person can make without asking anyone's permission.
What didn't make the list
It's the most popular fix floated in every office Slack thread, and it's the wrong lever: hardware isn't the bottleneck, maintenance is, and a shiny replacement put through the same unmaintained cycle scales, stales and sours just as fast, usually within a couple of months — with more chambers and hidden crevices to ignore than the one it replaced.
Convenient, but you're paying two to three times more for the same citric acid you can buy as plain powder — the branding exists to be easy to reorder, not because it cleans any better.
Questions people ask
Why does the coffee taste fine some days and completely off on others, from the exact same machine?
That inconsistency is almost always the biofilm-or-staleness pattern rather than an actual fault: worse on a Monday or after a bank holiday because the reservoir sat stagnant, worse late in a bag's life if nobody's rotating the hopper, worse in milk drinks specifically if the line hasn't been rinsed. A machine that's genuinely broken tends to be consistently bad, not good one day and off the next.
Will stale hopper beans actually make anyone sick, or is it just a taste problem?
It's almost always taste, not safety — staling is oxidation, and it dulls flavour rather than creating anything harmful. The exception is if you can actually see mould or the beans have gone damp, in which case bin that batch rather than run it through the machine.
Is it worth complaining to facilities, or just fixing this myself?
